Privacy notice

What we collect

We collect only what we need for a stated purpose. There are three ways information reaches us.

When you apply for a role

• Your name, email address and, if you provide it, a phone number.
• Where you are based, and any links you choose to share.
• Your résumé or CV, and the answer you write in the application form.
• Your notice period and right to work answers, if you choose to give them.
• The time of submission, and the browser user agent string sent with it. We use this only to investigate abuse of the form.

When you contact us

• Your name, email address, organisation if given, and your message.

When you browse the site

We do not use advertising trackers, third party analytics scripts, or behavioural profiling. The site sets no cookies for tracking. Your appearance preference, light or dark, is stored in your own browser and never sent to us.

Why we hold it

• To assess your application and communicate with you about it. Our lawful basis is our legitimate interest in recruiting, and your consent, which you give explicitly when you submit the form.
• To reply to an enquiry you sent us. Our lawful basis is our legitimate interest in responding to a message you chose to send.
• To protect the forms from automated abuse. Our lawful basis is our legitimate interest in keeping the service available.

Where it is stored

Applications and enquiries are stored on infrastructure Haltris controls, encrypted at rest, and readable only by the people involved in the hiring or enquiry they relate to. We do not send your application to a third party applicant tracking service, and we do not sell or share personal information with anyone for their own purposes.

So that the team knows a message has arrived, a short alert is sent to our internal messaging tool when you submit a form. It contains your name, your email address, the topic or role, and a reference. It never contains your message, your phone number or your CV.

How long we keep it

• Unsuccessful applications are deleted after twelve months, unless you ask us to keep them on file for future roles.
• Successful applications become part of your employment record and are kept as long as employment law requires.
• Enquiries are deleted after twenty four months.

Your rights

You can ask us to give you a copy of what we hold about you, correct something that is wrong, delete it, or stop using it. You can also withdraw consent for an application at any time, and we will delete it. Write to hello@haltris.com and we will answer within thirty days.

Changes

If this notice changes in a way that affects you, we will say what changed rather than only updating the date at the top.
